Effective September 22, 2026
1. Scope
This Privacy Policy applies to CLEInspection's public website, request forms, AI Lead Advisor, Property Watch, staff or client tools, email alerts, and information handled while providing inspection, compliance, renovation, Local Agent-in-Charge, and related services.
A signed service agreement may contain additional privacy or recordkeeping terms required for a particular inspection, laboratory submission, government filing, or Local Agent relationship.
2. Information we collect
Information you provide
- Name, company, phone number, email address, contact preference, and account identity.
- Property address, parcel number, ownership information, occupancy or unit information, requested service, deadlines, and project details.
- Messages, uploaded or supplied documents, prior reports, photographs, notes, inspection information, and communications with us.
- Questions entered into the AI Lead Advisor and, when you choose to submit a quote request, the conversation transcript attached to that request.
- Free Property Record Search requests, the selected parcel, report results, the exact consent language and time of consent, delivery history, and unsubscribe status.
- Billing, subscription, transaction, authorization, and service-agreement information. Payment-card details entered during online checkout are collected and processed by Stripe; CLEInspection receives transaction and subscription records but not your full card number.
Information collected automatically
Our hosting, security, authentication, and analytics providers may process IP address, approximate location, browser and device information, timestamps, requested pages, referring website, campaign information, page interactions, error and security logs, session identifiers, and essential cookies or similar technologies. We use this information to operate and protect the site and to understand which public pages and contact options help people reach us.
Public and third-party information
We use Google Analytics and Google Ads to measure website inquiries, calls, and booked services attributable to our ads. Ad-click identifiers may be linked to a service request to attribute conversions within a 90-day window. Conversion reports to Google contain the ad-click identifier and event timing, not your property address, messages, name, email address, or phone number. Visitors arriving from an ad may see a Google forwarding number so calls can be measured; text messages continue to use our business number.
Property Watch and compliance work may use publicly available government information, including property address, parcel and ownership records, rental- and vacant-registration status, lead-safe certificate information, building violations, civil tickets, investigations, condemnations, board-up and demolition permits, Certificates of Disclosure, dates, statuses, citations, and source links. We may also receive information from owners, authorized representatives, occupants, contractors, laboratories, inspectors, government agencies, and referral sources.
3. How we use information
- Respond to questions, requests, calls, texts, and emails.
- Evaluate, quote, schedule, perform, document, invoice, and support requested services.
- Create and maintain contacts, property profiles, inspection records, reports, alerts, and service histories.
- Monitor selected public records and notify staff or enrolled customers of relevant activity.
- Deliver a requested Property Record Snapshot and, with the separate consent shown on that form, send occasional CLEInspection marketing emails. You may unsubscribe at any time.
- Prepare laboratory submissions, reports, affidavits, registrations, certificate applications, and other authorized filings.
- Operate the AI advisor and improve its safety, usefulness, and handoff to a human.
- Authenticate staff, protect accounts, prevent fraud and abuse, troubleshoot failures, and maintain site security.
- Comply with licensing, record-retention, insurance, tax, safety, legal, and regulatory obligations and establish or defend legal claims.
4. AI processing
Questions submitted to the AI Lead Advisor are transmitted to our website infrastructure and may be processed by OpenAI or another contracted AI service provider to generate a response. The site may use a connected CLEInspection service to securely relay the request. AI conversations are not automatically added to our lead database unless you choose to send the conversation with a quote request, but infrastructure providers may retain operational or security logs under their own terms.
Do not submit Social Security numbers, payment-card data, passwords, API keys, private medical information, tenant health information, or other confidential or sensitive information through the advisor.
5. When information may be shared
We may disclose information only as reasonably necessary to:
- Hosting, database, authentication, email-delivery, communications, AI, security, scheduling, payment, and document-service providers that support our operations.
- Accredited laboratories, inspectors, contractors, consultants, notaries, property managers, and other professionals involved in an authorized service.
- The City of Cleveland, Ohio Department of Health, other government agencies, courts, insurers, licensing bodies, or legal advisers when authorized, required, or reasonably necessary.
- A purchaser, successor, lender, or adviser involved in a proposed or completed sale, merger, financing, or transfer of the business, subject to appropriate confidentiality protections.
- Protect CLEInspection, our customers, occupants, the public, or others; investigate misuse; enforce agreements; or comply with law, legal process, or valid government requests.
We do not sell personal information or share it for third-party behavioral advertising. We send optional marketing only when the person has provided the separate consent shown on the applicable form. Each marketing email includes an unsubscribe method.
6. Public-record information
Property and enforcement information obtained from government sources may remain publicly available even if removed from our system. CLEInspection does not control the underlying public record. Requests to correct an official record must be directed to the agency that maintains it. We may keep a historical snapshot when reasonably necessary to document an alert, service, report, dispute, or legal obligation.
7. Retention
We retain information only as long as reasonably necessary for the purposes described in this policy, including responding to requests, maintaining service and property histories, producing or preserving inspection reports, supporting Local Agent responsibilities, meeting licensing and legal recordkeeping requirements, resolving disputes, collecting payment, preventing fraud, and maintaining backups.
Retention periods vary by record type. Some inspection, environmental, government, accounting, contractual, insurance, or legal records must be kept for extended periods or permanently. When information is no longer reasonably required, we may delete, deidentify, or securely archive it.
8. Security
We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information, including access restrictions for staff tools. No website, transmission, database, email, or storage system can be guaranteed completely secure. You are responsible for using secure devices and protecting any account credentials or documents you receive.
9. Cookies and tracking
We use Google Analytics on public pages to measure visits and interactions. We also record limited first-party lead actions, such as a phone, text, or email link click or a completed request, together with the page and general referral or campaign source. These first-party analytics events do not include the person's name, email address, phone number, message, property address, or IP address. Staff pages, preview domains, and recognized staff devices are excluded where practicable.
We do not use third-party behavioral advertising cookies or sell analytics information. Analytics and essential systems may use browser, device, or session identifiers to distinguish activity. Browser settings or privacy tools may limit some analytics. We will provide any additional consent mechanism required by applicable law if our practices materially change.
10. Your choices and requests
You may ask us to:
- Provide a copy or summary of personal information associated with you.
- Correct inaccurate contact or account information.
- Delete information that we are not required or permitted to retain.
- Stop nonessential marketing communications.
- Update your communication preference or Property Watch contact information.
We may need to verify your identity and authority over the account or property before completing a request. We may deny or limit a request when retention is required for an inspection report, public record, contract, unpaid balance, legal claim, safety matter, regulatory duty, fraud prevention, or another lawful reason.
11. Children's privacy and health information
The website is intended for property owners, tenants, professionals, and adults seeking services; it is not directed to children under 13. Do not use the website or AI advisor to submit a child's medical records, blood-lead results, date of birth, or other sensitive health information. Contact a healthcare provider or public health authority through its approved channel for medical matters.
12. Third-party links
The site links to government portals, public datasets, laboratories, contractors, and other third-party services. Their privacy and security practices are governed by their own policies. Review those policies before submitting information directly to them.
13. Changes to this policy
We may update this policy as our services, vendors, technology, or legal obligations change. The effective date above identifies the current version. Material changes will be posted on this page and, when appropriate, communicated through another reasonable method.
14. Contact us
Send privacy questions or requests to mike@cleinspection.com. Please do not email Social Security numbers, full payment-card information, passwords, private medical records, or other highly sensitive information.
